JOB DESCRIPTION:
First point of contact for all staff, visitors and suppliers, answering intercom
Responsible for handling of incoming and outgoing calls including distribution
Receive, inform, guide visitors including coordination with employees
Responsible for maintenance and upkeep of front office
Develop the necessary policies and procedures required for all functions within the scope of Reception
Act as point of contact for the office for any facilities related queries with all stakeholders (client/Workplace team/landlord/suppliers)
Conducting regular office inspections to ensure all aspects of the service delivery is functioning efficiently
Assist in utilization of conference rooms
Handling of incoming and outgoing mail including distribution and update.
Assist in the preparation of Daily reports, Weekly Report and Monthly Management Report
Provide general safety support by supervising and escorting service providers and contractors on site
Coordinate all reactive works, invoices and other finance matters for the site in preparation of the monthly invoice for the client
Proactively coordinate planned preventative and periodic works on site
REQUIREMENTS:
Experience in Front Desk and Back Office processes is required with strong Administration Skills
Excellent communication skills
Ability to interact with all members within the company
Dependable and flexible, able to work independently as well as part of a team
Ability to handle multiple requests and work in a fast paced office environment
Ability to accurately complete tasks assignments & responsibilities in timely manner
Demonstrate a high level of initiative and be proactive

Friendly , open and people centric
Good comprehension of both Polish and English
